Privacy & Safety

This page explains how School Scoop handles personal information. We are independent and not part of any school or education department. We use data to run the service, send school newsletter digests, support Free and Premium access, keep the product safe, and improve School Scoop.

What we collect

  • Your email address, manage/unsubscribe tokens, account status, subscription status, free preview count, gift/reward/promotion status, and email delivery history.
  • Your chosen schools, year levels, language, keyword alerts, class or group terms, Smart Calendar categories, Tomorrow Reminder settings, and optional mobile number if you provide one.
  • Newsletter links, school links, corrections, school requests, verification details, and support messages you send us.
  • Payment and subscription status from Stripe, such as customer and subscription identifiers. We do not store your full card details.
  • Referral, school-sharing, campaign, marketing preference, and product usage information, such as referral codes, direct school sign-up links, UTM parameters, page visits, button clicks, browser/device details, IP address, and cookies.
  • Public school newsletter content and school website content that we process to create summaries, dates, and school-specific insights. Public newsletters may contain names or photos of staff, students, parents, or community members.

What we do not want you to send

Please do not send us private student records, passwords, private school portal content, private parent chats, medical information, student IDs, or anything you are not allowed to share. If you accidentally send sensitive information, contact us and we will remove it where we can.

We do NOT intentionally scrape private student data, internal school portals, or non-public sources.

How we use information

  • To send your free and Premium digests, manage your account, personalise content by school/year/class, and support calendar and reminder features.
  • To process newsletters with purpose-built automation, extract dates and action items, create cached summaries, and improve accuracy.
  • To handle Premium billing, free preview limits, launch partner access, verifier/founder rewards, manual gifts, referrals, plan changes, cancellations, refunds, and support requests.
  • To send service emails, account notices, manage links, preview-ending notices, access-expiry notices, payment notices, security notices, and product or promotional messages where we have consent under applicable spam laws.
  • To measure site activity, ad performance, funnel performance, product quality, abuse, security, errors, and deliverability.
  • To comply with legal obligations, enforce our terms, protect users, and investigate misuse or incorrect school submissions.

Service providers

We use trusted third-party services to run School Scoop. This may include hosting and database providers, automated summarisation and AI model providers, email delivery providers such as Resend, payment providers such as Stripe, calendar/feed infrastructure, analytics providers such as Google Analytics, and advertising measurement tools such as the Meta Pixel and Meta Conversions API.

These providers only receive the information needed to perform their role. Information may be processed in Australia, the United States, Europe, or other countries where those providers operate.

Analytics, ads & cookies

We may use cookies, pixels, server-side conversion events, and similar tools to understand how people find and use School Scoop, measure whether ads are working, avoid duplicate reporting, improve the signup flow, and protect the service. These tools may collect browser, device, page visit, event, IP address, cookie, referral, and purchase/subscription event information.

Emails & unsubscribe

School digest emails, manage links, preview/final-preview notices, trial or gift expiry notices, reminder emails, calendar setup emails, and account notices are part of the service you subscribed to. Promotional or product-update emails include an unsubscribe or manage link where required. You can unsubscribe from School Scoop at any time from your manage page or from links in our emails.

Children's privacy

School Scoop is intended for parents and carers, not for children to create accounts. We ask for year levels and optional class/group terms so we can filter newsletter content, but we do not ask for your child's name. Please avoid entering children's names or sensitive information into keyword, class/group, or support fields.

Storage, security & retention

We use access controls and operational safeguards to protect subscriber data. No online service can guarantee perfect security, so please keep your manage links private and tell us if you think your account link has been shared.

We keep subscriber information while your account is active and for as long as needed for support, security, delivery, payment, audit, legal, and backup purposes. Public school newsletter archives, school-level summaries, extracted dates, source checks, and scanner evidence may be retained after a subscriber unsubscribes because they are product records about public school content, not just your account.

Access, correction & deletion

You can update your schools, year levels, reminder settings, calendar categories, keywords, language, mobile number, marketing preference, and unsubscribe status from your manage page. To access, correct, or delete account data, use the unsubscribe or manage link in any School Scoop email, or email hello@schoolscoop.com.au from the email address you subscribed with.

We will remove or de-identify your subscriber record, chosen schools, year levels, preferences, email subscription data, and related account information where we are legally and technically able to do so. We may retain limited records where needed for payment, security, fraud prevention, legal compliance, backups, or audit logs.
